Seasonal Property Maintenance Checklist for Property Managers

Staying ahead of maintenance issues saves money and keeps tenants happy. Use this quarterly inspection checklist to catch problems early and maintain your rental properties in top condition year-round.
Exterior & Site Inspection
- ☐Walk the perimeter and note any issues (loose siding, rot, holes, trip hazards)
- ☐Inspect roof from ground level for missing/damaged shingles
- ☐Check gutters and downspouts for clogs and proper drainage
- ☐Inspect foundation for cracks or water intrusion signs
- ☐Check fencing for damage, loose boards, or leaning posts
- ☐Inspect deck/porch for rot, loose boards, or structural issues
- ☐Clear debris from window wells and drainage areas
- ☐Trim trees and shrubs away from structure
HVAC & Filters
- ☐Replace HVAC filters (or verify tenant has done so)
- ☐Test heating and cooling operation
- ☐Check thermostat function and batteries
- ☐Inspect outdoor AC unit for debris and damage
- ☐Check condensate drain line for clogs
- ☐Verify vents are unobstructed
Plumbing & Water Risk
- ☐Check under all sinks for leaks or moisture
- ☐Test all toilets for proper flush and fill
- ☐Inspect water heater for leaks, rust, or sediment
- ☐Check washing machine hoses for wear or bulging
- ☐Test water pressure at multiple fixtures
- ☐Inspect caulking around tubs, showers, and sinks
- ☐Check exterior hose bibs (winterize if needed)
Electrical & Safety
- ☐Test all GFCI outlets (kitchen, bath, exterior)
- ☐Test smoke detectors and replace batteries
- ☐Test carbon monoxide detectors
- ☐Check for exposed wiring or damaged outlets
- ☐Verify exterior lighting works properly
- ☐Check fire extinguisher expiration date
Interior Condition
- ☐Check all doors for proper operation and locks
- ☐Inspect windows for seal integrity and operation
- ☐Look for signs of water damage on ceilings and walls
- ☐Check flooring for damage or wear patterns
- ☐Test all appliances for proper function
- ☐Inspect cabinets and countertops for damage
Pest & Moisture Watch
- ☐Look for signs of pest activity (droppings, damage, nests)
- ☐Check for musty odors indicating moisture problems
- ☐Inspect attic/crawl space for moisture or pest signs
- ☐Seal any gaps or entry points found
Documentation
- ☐Take photos of any issues found
- ☐Log issues by priority (urgent, soon, monitor)
- ☐Schedule repairs for urgent items
- ☐Update property maintenance records
